1. Introduction

Syntable respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website, web application, iOS application, backend services, and related features.

2. Information We Collect

  • Contact and Account Information: We may collect your email address, name, profile information, authentication metadata, and account identifiers when you register, sign in, or contact us.
  • User Content: We collect and store content you choose to add to Syntable, including manual notes, note text, selected note text, PDFs, extracted PDF text, uploaded audio files, recorded audio files, generated audio transcripts, YouTube URLs and transcripts, prompts, chat messages, attached note references, generated summaries, flashcards, quizzes, AI edits, study materials, exports, and other materials you create or request in the Service. You provide this content directly when you type prompts or chat messages, create notes, attach references, upload PDFs or audio files, record audio, submit YouTube URLs, or use AI features.
  • Purchase and Subscription Information: We may collect product IDs, subscription status, entitlement status, renewal or expiration information, restore-purchase status, invoice or receipt references, and billing provider metadata. Syntable does not store full credit card numbers.
  • Identifiers: We may use identifiers such as your Firebase user ID, RevenueCat app user ID, account ID, and app or device identifiers where needed for account access, subscriptions, diagnostics, security, and service functionality.
  • Usage and Diagnostic Data: We may collect product interactions, feature usage, logs, crash or stability information, device and app information, and related diagnostics to maintain and improve the Service.

3. How We Use Your Information

We use information to provide, maintain, secure, and improve Syntable, including to:

  • Create, authenticate, and sync your account across devices.
  • Store and display your notes, generated study materials, chats, and exports.
  • Extract text, transcribe audio, process YouTube transcripts, format content, and generate study sessions from content you submit.
  • Process AI requests you choose to make, including note generation, summaries, flashcards, quizzes, AI edits, and chat responses.
  • Provide subscriptions, entitlement checks, restore purchases, billing support, account support, and usage-limit enforcement.
  • Detect, prevent, and troubleshoot fraud, abuse, security issues, and technical problems.
  • Analyze usage and diagnostics to improve reliability, performance, stability, and product experience. We do not use AI-related user content for third-party advertising or unrelated profiling.

4. Third-Party Services

We share limited information with trusted third-party providers as needed to operate Syntable:

  • Cloud Infrastructure: We may use Firebase, Google Cloud, or similar infrastructure for authentication, databases, storage, backend operations, and security.
  • AI Processing Providers: We may use third-party AI providers as described in Section 5 below, including Google Gemini for text-based AI generation, formatting, study tools, edits, and chat responses, and OpenAI Whisper for audio transcription.
  • Subscription Management: We use RevenueCat to manage subscription entitlements, product IDs, purchase status, renewal or expiration status, and restore purchases.
  • Payment Providers: iOS purchases are processed by Apple through the App Store. Web purchases may be processed by Paddle. These providers process payment details under their own terms and privacy practices.
  • Analytics and Diagnostics: We may use basic analytics, logging, or diagnostic tools to understand app stability, performance, and feature usage.

5. AI Processing and Third-Party AI Providers

Syntable provides AI-powered features such as note generation, PDF and YouTube processing, audio transcription, study material generation, summaries, flashcards, quizzes, AI edits, and chat responses. Before Syntable sends personal data or User Content to a third-party AI provider from the iOS app, the app asks for your permission. If you do not give permission, Syntable will not send that content to third-party AI providers and the requested AI feature will not run.

When you choose to use AI features and give permission in the app, Syntable may send only the content needed to provide the feature you requested. Google Gemini may receive text-based content such as prompts, notes, selected note text, extracted PDF text, YouTube transcripts, audio transcripts, chat messages, attached note references, generated study materials, and instructions needed to generate, format, summarize, edit, quiz, create flashcards, and respond to chat requests. OpenAI Whisper may receive uploaded audio files or recorded audio files, and limited file metadata needed to create transcripts.

Syntable uses this data only to provide the AI feature you requested, maintain service functionality, troubleshoot issues, enforce usage limits, and protect the Service from abuse. Syntable does not sell your personal information, does not use your content for third-party advertising, and does not use your information for cross-app tracking.

We require third-party AI providers to protect shared data under their applicable API terms, contractual safeguards, confidentiality and security obligations, and security practices intended to provide the same or substantially similar protection. Where provider API terms or settings allow, we configure providers so customer API data is not used to train generalized public models.

6. Data Linked to Your Account

Account information, User Content, subscription status, identifiers, usage data, and diagnostics may be linked to your Syntable account when needed to provide the Service, maintain subscription access, sync data, support users, or troubleshoot issues. We do not sell your personal information, and we do not use your information for third-party advertising or cross-app tracking.

7. Data Security

We use reasonable technical and organizational safeguards designed to protect your information from unauthorized access, use, or disclosure. However, no method of transmission over the Internet or method of electronic storage is 100% secure.

8. Data Retention and Deletion

You can delete your account from account settings in the app or web dashboard. After deletion, we remove your personal account data and User Content from active systems, subject to backups, security, fraud prevention, billing records, legal obligations, and reasonable technical limitations.

9. Children's Privacy

Syntable is not intended for children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated Privacy Policy on this page and update the "Last Updated" date.
